Overview

A national law firm is seeking an experienced Legal Assistant with 5+ years of substantive experience in commercial real estate transactions to join its Phoenix office. The ideal candidate is proactive, highly organized, and adept at supporting attorneys handling complex transactional matters. This role requires strong attention to detail, excellent communication skills, and the ability to manage competing priorities in a fast-paced environment.

Key Responsibilities

  • Provide comprehensive administrative and transactional support to attorneys in the Commercial Real Estate practice.
  • Prepare, edit, and proofread a variety of legal documents, including purchase and sale agreements, leases, financing documents, closing binders, correspondence, and memoranda.
  • Coordinate and monitor critical dates, deadlines, and documentation throughout the lifecycle of real estate transactions.
  • Assist with the preparation and organization of closing checklists, signature packages, and closing documents.
  • Communicate with title companies, escrow officers, lenders, clients, and other third parties to facilitate smooth and timely closings.
  • Handle document management tasks, including saving, indexing, and organizing files within the firm's DMS.
  • Perform general administrative duties such as scheduling, calendar management, expense reporting, time entry, and travel arrangements.

Qualifications

  • 5+ years of legal assistant experience supporting attorneys in commercial real estate transactions.
  • Strong understanding of real estate transaction workflows, from LOI to post-closing.
  • High proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and legal document management systems.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to manage multiple priorities with accuracy and efficiency.
  • Strong organizational skills, professional judgment, and a team-focused mindset.
  • Ability to work onsite during the initial 90 days, then transition to a hybrid schedule (2 remote days per week).
